Privacy Policy

This Privacy Policy explains how Harley Howe trading as Sovereign Athletic (ABN 90 027 716 997), operating the SVGN Coaching service from Bungendore, NSW, Australia ("SVGN", "we", "us"), collects, uses, stores and discloses your personal and health information. SVGN Coaching is offered only to individuals located in Australia. If you are outside Australia, please do not submit information through this service.

We handle your information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and, because we handle health information in NSW, the Health Records and Information Privacy Act 2002 (NSW) and the NSW Health Privacy Principles. Where the Notifiable Data Breaches scheme applies, we will comply with it. This document is not legal advice.

1.Who operates SVGN Coaching

SVGN Coaching is operated as a sole trader by Harley Howe trading as Sovereign Athletic, based in Bungendore, NSW, Australia. Privacy contact: coach@svgn.com.au.

2.Scope and Australian-only availability

This Policy applies to information collected through coaching.svgn.com.au and related SVGN Coaching workflows (assessment, waiver, application, coach communications and account access). The service is offered only to individuals located in Australia and is intended for adults aged 18 and over unless a specific arrangement has been made in writing for a minor.

3.Information we collect

  • Identity and contact information, first name, full legal name (waiver), email address, mobile number, date of birth, emergency contact details.
  • Account information, sign-in identifiers, authentication tokens and role assignments for staff and clients.
  • Assessment information, answers to the SVGN Hybrid Performance Assessment quiz, derived limiter and recommended coaching tier.
  • Coaching information, your goals, training history, preferences, selected coaching tier and messages exchanged with your coach.
  • Health and sensitive information, readiness responses, health disclosures, injury history, current medications and related notes you provide during onboarding and coaching.
  • Waiver and risk-acknowledgement information , your signed SVGN Online Coaching Waiver, checkbox acknowledgements and timestamp.
  • Payment and handoff information, the fact of a coaching offer and PushPress handoff. Payment and membership are handled by PushPress; SVGN does not process or store your card details.
  • Technical information. IP address, approximate location derived from IP, device type, browser, referring URL, UTM parameters and pages viewed.
  • Consent and communications information, your consent decisions (necessary, analytics, marketing), marketing-email consent, timestamps of consent changes and records of communications you send us.

4.Why we collect and use your information

  • To deliver the assessment and generate your result.
  • To review your suitability for coaching and design a safe program.
  • To respond to you, coordinate coaching and manage the coach–client relationship.
  • To record signed waivers and risk acknowledgements.
  • To hand off approved clients to PushPress for membership, payment and program delivery.
  • To operate, secure and improve the service.
  • To meet legal, regulatory, insurance and record-keeping obligations.
  • Only with your consent: optional analytics and marketing measurement (see sections 7–9).

5.Consent for health and sensitive information

Health and injury details are sensitive information under Australian privacy law. By completing the waiver and application forms, including the ticked acknowledgements and health-disclosure fields, you provide express consent for SVGN to collect and use that information for the purposes described in this Policy. You may withdraw this consent at any time by emailing coach@svgn.com.au. Withdrawal may mean we can no longer safely provide coaching, and existing records will still be retained where required by law, insurance or the retention schedule below.

6.Necessary processing vs optional tracking

Necessary processing runs the assessment, waiver, application, sign-in, coach dashboard and coaching workflow. It cannot be turned off because the service cannot function without it.

Optional analytics and optional marketing tracking are separate categories and are off by default. They only run if you accept them in the consent banner or in Privacy Preferences. You can change or withdraw either category at any time, see section 16.

7.PostHog analytics and session replay

If you accept the Analytics category, we use PostHog to record product analytics events (for example: page views and funnel step events) and, on assessment pages, session replay of your interactions with the interface. Session replay is used to diagnose usability problems.

We configure PostHog to mask input fields and text content in replays. We do not send your quiz answers, health or injury information, coaching recommendation, free-text responses, email address, phone number or sensitive URL / query parameters to PostHog.

8.Meta Pixel and Meta Conversions API

If you accept the Marketing category, we use the Meta Pixel in your browser and the server-side Meta Conversions API to measure a small set of approved conversion events (Lead, QualifiedCoachingApplication and CoachingClientActivated). Browser and server events for the same action share a deterministic event ID so that Meta can deduplicate them.

Meta's enhanced-matching (automatic collection of form fields such as email or phone) is not enabled.

9.What is never sent to Meta or PostHog

We do not transmit your quiz answers, health information, injury details, medications, coaching recommendation, free-text responses, email address, phone number, emergency contact details, waiver content or coaching notes to Meta or PostHog. Only the allowlisted, non-sensitive event fields required for measurement are sent, and only if you have accepted the relevant consent category.

10.Hosting and application infrastructure

The SVGN Coaching application is hosted on Lovable (running on Cloudflare's edge network) with database, authentication and storage provided by Supabase. These providers process your information on our behalf under their own security and privacy commitments.

11.PushPress and operational service providers

Approved coaching clients are handed off to PushPress, which handles membership activation, payment processing, app access and program delivery. When this occurs, the personal information reasonably necessary to establish your PushPress account is shared with PushPress and becomes subject to their privacy policy. We also use standard operational providers for email delivery, error monitoring and analytics as described above.

12.Overseas storage, processing and disclosure

Some of our service providers (including Supabase, Lovable / Cloudflare, PostHog, Meta and PushPress) may store or process your information on servers located outside Australia, including in the United States and the European Union. By using SVGN Coaching you acknowledge that your information may be transferred to, stored in and processed in those jurisdictions, subject to their applicable laws.

13.Security

We use reasonable technical and organisational safeguards to protect your information, including encryption in transit, access controls, role-based permissions, database row-level security and audit logging. No online service can guarantee absolute security, and you use SVGN Coaching at your own risk to the extent permitted by law.

14.How long we keep your information

  • Unsuccessful applications: 12 months after the application decision.
  • Adult coaching and health records: 7 years after the last coaching service.
  • Information collected while the athlete is under 18: until the athlete turns 25.
  • Waivers and risk acknowledgements: the same period as the associated coaching record.
  • Consent and withdrawal audit records: 7 years after the latest consent decision or the end of the coaching relationship, whichever is later.
  • PostHog analytics events: 12 months.
  • PostHog session recordings: 30 days.
  • Internal Meta Conversions API delivery and troubleshooting logs: no longer than 90 days.
  • Data held by third parties is subject to their own retention policies. We apply available minimisation and deletion controls where offered.

15.Access, correction and deletion

You can request access to, or correction of, the personal information we hold about you by emailing coach@svgn.com.au. You can also request deletion, and we will delete information that we are not required to keep. Where a law, insurance obligation or the retention schedule above requires us to keep certain records, we will let you know and retain only what is necessary.

16.Withdrawing analytics or marketing consent

You can change or withdraw your analytics and marketing consent at any time by opening Privacy Preferences from the footer of any page.

17.Effect of withdrawal

Withdrawing analytics or marketing consent stops future optional tracking on your device and future server-side marketing conversion events tied to your session. It does not automatically delete lawful operational coaching records (assessment, waiver, application, coaching history) or analytics / marketing events that were already transmitted before you withdrew consent. To request deletion of specific records, see section 15.

18.Direct-marketing emails

Consent to receive direct-marketing emails (for example, the optional checkbox on the assessment contact form) is separate from analytics and marketing-tracking consent. You can unsubscribe at any time using the link at the bottom of any marketing email or by emailing coach@svgn.com.au. Unsubscribing does not affect necessary coaching communications sent to active clients.

19.Complaints

If you believe we have mishandled your information, please email coach@svgn.com.au. We will acknowledge your complaint within a reasonable period, investigate and respond in writing, typically within 30 days. If you are not satisfied with our response, you can escalate your complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or, for NSW health information, to the Information and Privacy Commission NSW (IPC NSW) at ipc.nsw.gov.au.

20.Changes to this Policy

We may update this Policy from time to time. The effective date at the top of the page shows when it was last changed. Material changes will be highlighted on this page. Continued use of SVGN Coaching after an update means you accept the revised Policy.
